ContractValor

Who it is for

ContractValor is aimed at SMEs that keep their contracts in folders and Excel lists today. There, deadlines are easily missed, and terms sit in PDFs instead of being available as data. ContractValor brings contracts, terms and deadlines into one place, with reminders 90, 60 and 30 days ahead.

Procurement records contracts with line items, tiers, rebates and documents. Finance and management are involved through termination with approval: the request is prepared, and approval follows the delegation of authority. The policy check compares every contract with the company's own procurement policy and flags deviations.

Consultancies and private equity firms can use ContractValor under their own name via AdvisorValor, with their own branding and strictly separate client environments. ContractValor is available separately and as part of the ProcureValor suite. The software is developed in Switzerland and 100 % hosted in Switzerland.

ContractValor

How it works in practice

This is how you work with ContractValor:

  1. Create. Contracts come from the SourceValor award, price sheet included, by hand, or by importing existing contract lists from Excel.
  2. Record terms. You record prices, tiers, payment terms and indexation, plus line items, rebates and documents. Every term has its source, and one click shows the passage in the contract.
  3. Monitor. ContractValor sends e-mail reminders 90, 60 and 30 days before notice, renewal and indexation dates. The deadline calendar shows all dates of the month, also as an Outlook appointment. Volumes and utilisation appear with traffic lights, including alerts on rebate and penalty risks. Annual and total value are clearly marked as calculated.
  4. Hand over. The terms go to MarginValor for matching. If a contract is to end, the termination request is prepared, approval follows the delegation of authority, and the deadline stays monitored.

ContractValor

An example

Example, fictitious and for illustration only. A Swiss engineering SME has so far kept its supplier contracts in an Excel list and in folders. The head of procurement imports the existing list into ContractValor and adds prices, tiers, payment terms and indexation for the most important contracts. She stores the contract documents directly with each contract.

A few weeks later she receives an e-mail: the notice period for a maintenance contract is approaching. In the deadline calendar she sees the date, also as an appointment in Outlook. The traffic light shows that the agreed volume is barely being used. The policy check also flags a deviation from the company's own procurement policy.

She decides to terminate the contract. The request is prepared in ContractValor, approval goes to the CFO under the delegation of authority, and the deadline stays monitored until the notice is sent. She tenders the successor contract in SourceValor.

FAQ

Frequently asked questions

What is contract management software like ContractValor?

Contract management software keeps contracts, terms and deadlines in one place; ContractValor does this with reminders 90, 60 and 30 days before every deadline. Contracts are recorded with line items, tiers, rebates and documents. Every term has its source, and one click shows the passage in the contract. ContractValor shows volumes and utilisation with traffic lights, including alerts on rebate and penalty risks.

Who is ContractValor for?

ContractValor is for SMEs that keep their contracts in folders and Excel lists today. Existing contract lists can be imported from Excel, so the switch does not start from zero. Consultancies and private equity can use ContractValor under their own brand via AdvisorValor, with strictly separate client environments. ContractValor is available separately and is part of the ProcureValor suite.

How do I move existing contracts into ContractValor?

Existing contracts get into ContractValor in three ways: by importing existing contract lists from Excel, by hand, or directly from the SourceValor award, price sheet included. You then record the terms: prices, tiers, payment terms and indexation. You store documents directly with the contract. ContractValor calculates annual and total value and clearly marks them as calculated.

How does working with ContractValor work?

Working with ContractValor follows four steps. First, you create the contract, from the award, by hand or by import. Second, you record terms such as prices, tiers, payment terms and indexation. Third, ContractValor monitors deadlines and sends reminders before notice, renewal and indexation dates. Fourth, the terms go to MarginValor for matching.

How do I keep track of contract deadlines?

With ContractValor, you receive an e-mail reminder 90, 60 and 30 days before every deadline. This applies to notice, renewal and indexation dates. A deadline calendar shows all dates of the month, also as an Outlook appointment. If a contract is to be terminated, the request is prepared, approval follows the delegation of authority and the deadline is monitored.

Is ContractValor hosted in Switzerland?

Yes, ContractValor is developed in Switzerland and 100 % hosted in Switzerland. Rheinvalor Advisory develops the software itself. As part of the ProcureValor suite, ContractValor keeps client environments strictly separate and records every change in an audit trail. Sign-in uses a one-time code without a password, and connections are encrypted via HTTPS only, with HSTS. There are no trackers and no CDN.

Can I use ContractValor on its own or only as part of a suite?

ContractValor is available separately and is part of the ProcureValor suite. You can start with ContractValor and add further modules when it suits you. Together, all modules share one data foundation: suppliers, categories and contracts are entered only once. Contracts then come straight from the SourceValor award, and the terms go to MarginValor for matching.

How much does ContractValor cost?

ContractValor is available under a licence or a success-based model. To get started, tell us briefly what you have in mind or book a call directly. Rheinvalor Advisory will get back to you personally for a review. Existing contract lists can be imported from Excel, and ContractValor can later be extended with further modules of the ProcureValor suite, such as SourceValor or MarginValor.
